Overview

The Billing & Collections Administrator will manage a high-volume debtor portfolio, ensuring accurate billing and effective collections. Responsibilities include resolving billing queries, following up on outstanding payments, and maintaining financial records. The role involves working within a collaborative finance team and building professional relationships with clients across various industries.

Requirements

  • Diploma or Degree in Finance, Accounting, or a related field (advantageous)
  • Certificate in Credit Management or Debt Collection (beneficial)
  • Proven experience in a billing and/or collections environment
  • Strong account reconciliation experience
  • Experience using Xero (advantageous)
  • Advanced Excel skills, including VLOOKUP/XLOOKUP and PivotTables

Responsibilities

  • Process and issue accurate monthly invoices across multiple entities
  • Verify billing data and supporting documentation before finalising charges
  • Process and allocate payments, credits, adjustments, and billing corrections
  • Reconcile customer accounts and maintain accurate debtor ledgers
  • Manage billing queries and resolve discrepancies promptly
  • Manage the full collections cycle and follow up on outstanding accounts
  • Build professional client relationships while maintaining a firm approach to collections
  • Prepare month-end billing summaries and reports for management
  • Produce accurate debtor age analysis reports and monitor overdue balances
