The Registry/Reception Clerk will provide essential registry services within the Department of Cultural Affairs and Sport, ensuring the efficient handling of mail, inquiries, and document management. Requirements

  • Grade 12 (Senior Certificate or equivalent qualification)

Responsibilities

  • Attend to clients and handle telephonic and other inquiries
  • Receive and register hand delivered mail/files
  • Sort, register, and dispatch mail
  • Distribute notices on registry issues
  • Open and close files according to the record classification system
  • File/store, trace (electronically/manually), and retrieve documents and files
  • Complete index cards for all files
  • Open and maintain the franking machine register
  • Frank post, record money, and update the register daily
  • Undertake spot checks on post for compliance
  • Lock post in postbag for delivery to the Post Office
  • Open and maintain remittance register
  • Record valuable articles as prescribed
  • Hand delivers and signs over remittances to finance
  • Send wrong remittances back to sender via registered post
  • Keep daily record of letters franked
  • Electronic scanning of files
  • Sort and package files for archives and distribution
