Job Description:

Coca-Cola Beverages South Africa (CCBSA) has a compelling opportunity in their Manufacturing Department. They are seeking a talented individual with relevant skills and experience to fill the role of Secretary, based in Lakeside. The successful candidate will report directly to the Manufacturing Manager.

Key Purpose:

To support the Logistics Manager and provide Manufacturing teams with relevant administration and information. This ensures sustainable operational effectiveness and competitiveness within clearly identified KPIs to achieve market penetration and increased customer service.

Key Duties & Responsibilities:

Key Outputs:

  • Manage the diary and coordinate meetings calendar for M&T Manufacturing Manager.
  • Schedule relevant manager’s appointments and maintain daily calendar, managing changes, actions, and reminders.
  • Manage the distribution/collection of pre-meeting materials, ensuring all pre-readings and reports are available before every meeting.
  • Develop presentations and reports for the Manufacturing Manager.
  • Compile relevant reports.
  • Keep a record of all communications using sophisticated filing systems for efficient retrieval and response.
  • Maintain general Archive and legacy-Appletiser Archive.
  • Compile internal memos, high-level reports, presentations, agendas, letters, and responses – managing all mail and correspondence on behalf of the relevant managers.
  • Manage and maintain contact lists.
  • Make relevant travel, flight, accommodation, transport, and venue arrangements.
  • Coordination and planning of events.
  • Manage relationships with internal and external customers.
  • Manage all on-site meeting venues and office facilities.
  • Procurement of resources aligned with procurement policy (RACM).
  • Provide support to IT, HR, IR, Payroll, PAC, Financial Manager (Appletiser SA (Pty) Ltd), Legal.
  • Ensure the smooth and efficient running of the office.
  • Management of staff transport service.
  • Cost management.
  • Providing SAP support.

Skills, Experience & Education:

Qualifications & Experience:

  • Relevant degree or equivalent would be an advantage.
  • Minimum of 5 years’ experience as a Secretary to a member of Management.
  • Experience in preparing PowerPoint presentations and advanced Excel skills.
  • Excellent typing skills with excellent accuracy.
  • Fully computer literate with an Advanced level of MS Office.
