As a Secretary, you will play a pivotal role in supporting the department’s operations and facilitating effective communication.
Responsibilities:
As a Secretary at the Department of Transport, your responsibilities will include:
- Providing administrative support to senior officials and managers, including scheduling meetings, managing calendars, and making travel arrangements.
- Drafting, typing, and proofreading documents, reports, and correspondence as required.
- Handling incoming and outgoing communication, including emails, letters, and phone calls, in a professional and timely manner.
- Maintaining accurate and organized records, files, and databases.
- Coordinating and preparing materials for meetings, workshops, and presentations.
- Assisting in the preparation and distribution of agendas and minutes for departmental meetings.
- Managing office supplies and equipment, ensuring their availability and functionality.
- Welcoming and assisting visitors to the department in a friendly and professional manner.
- Collaborating with other team members and departments to ensure efficient workflow and information sharing.
- Upholding confidentiality and discretion in handling sensitive information.
Qualifications:
- A National Senior Certificate.
- No experience, however, exposure in the environment will be an added advantage.
- Knowledge:
- Excellent language skills.
- Ability to communicate well with people at different levels and from different backgrounds.
- Good telephone etiquette.
