Overview

The Stock and Recipe Management Officer is responsible for ensuring that all butchery, fast foods, and bakery recipes are accurate, up to date, and correctly configured within the software system. The role ensures standardisation of recipes and stock data across all franchise stores, accurate system configuration including ingredients, yields, and units of measure, and correct stock deductions and cost of sales reporting.

Requirements

  • Diploma in Information Systems, Data Management, Supply Chain, Food Technology, Food Science, Business Administration, Finance, or a related field – essential.
  • 1–2 years’ experience in master data, recipe administration, inventory administration, stock control, costing, business systems, or a similar role – essential.
  • Experience working with ERP, recipe management, stock management, point-of-sale, workflow, reporting, or other business systems – essential.
  • Working knowledge of master data principles, data quality, system configuration, stock codes, bill of materials, units of measure, yields, and recipe controls – essential.
  • Understanding of stock deductions, costing, cost of sales, gross profit, stock variances, and stocktake processes – essential.
  • Working knowledge of Microsoft Office 365, especially Excel, for data checks, variance analysis, and reporting – essential.

Responsibilities

  • Maintain, update, and control all butchery, fast foods, and bakery recipes in the software system.
  • Ensure recipes align with approved SOPs, yields, portion sizes, and ingredient specifications.
  • Review and update recipes following menu changes, product launches, supplier changes, or cost fluctuations.
  • Test recipes to ensure they function correctly in-store before approval.
  • Ensure correct ingredient links, units of measure, yields, and loss factors are configured in the system.
  • Verify accurate stock deductions and sales postings.
  • Investigate stock variances linked to recipe setup.
  • Liaise with IT or software providers to resolve recipe and stock system issues.
  • Maintain accurate recipe costings to support reliable cost of sales reporting.
  • Identify and report cost variances linked to recipe, ingredient, supplier, or yield changes.
  • Support gross profit improvement initiatives through accurate recipe and costing data.
  • Ensure recipe data aligns with stock codes, bill of materials, and approved inventory structures.
  • Assist stores with recipe-related stock variance investigations.
  • Support stocktake accuracy by ensuring recipe and stock data are maintained correctly.
  • Ensure compliance with company standards, recipe controls, and food safety requirements.
  • Maintain version control and audit trails for recipe and stock data changes.
  • Support internal and external audits by providing accurate recipe, costing, and stock data evidence.
  • Provide guidance and training to store teams on recipe use and the stock impact of recipe setup.
  • Act as a support resource for recipe, costing, stock deduction, and system-related queries.
