Administration Clerk
DEPARTMENT OF FORESTRY, FISHERIES AND THE ENVIRONMENT
Overview
Provide administrative and logistical support to the Directorate: receive and register incoming and outgoing correspondence. Laise with public entities in relation to the submission of Strategic Plans, Annual Performance Plans, and Shareholder Compact.
Requirements
- Grade 12 certificate
- A post -matric qualification and relevant experience in administration will be an added advantage
- Knowledge of administrative procedure
- Knowledge of public service prescripts and procedures
- Knowledge of procurement policies and proc edures
- Thorough knowledge of financial management and supply chain management procedures
- Computer literacy
- Good communication skills (written and spoken)
- Report writing skills
- Good interpersonal relations skills
- Sound organising and planning skills
- Ability to work long hours voluntarily and plan under pressure
- Ability to gather and analyse information
- Ability to adhere to policies, work independently, and work in a team
Responsibilities
- Provide administrative and logistical support to the Directorate: receive and register incoming and outgoing correspondence
- Laise with public entities in relation to the submission of Strategic Plans, Annual Performance Plans, and Shareholder Compact
- Con duct the preliminary analysis of the draft performance plans against the guidelines
- Arrange monthly and quarterly meetings for the Directorate
- Assist with the draft minutes of the Directorate meetings and follow -up on the action list
- Send out reminders to public entities for the submission of the quarterly performance reports and the Portfolio Committee presentations
- Distribution of the Portfolio Committee presentation and Parliamentary questions to the public entities
- Sent correspondence to the public entities and follow up on outstanding matters
- Assist with petty cash requests and procurement of goods and services
- Distribution of documents in a prompt and confidential manner
- Make travel arrangements for the officials
- Consolidate and facilitate travel claims for the Directorate
- Maintain and oversee the filling system of the Directorate
- Assist with the management of finances within the Directorate
- Procurement of goods and services using the correct procedures
- Prepare quarterly financial and non-f inancial performance reports for the Directorate
